These Terms and Conditions apply to all services delivered by Red Dirt Consulting Pty Ltd (RDC). By engaging our services you confirm that you have read and agree to be bound by these terms.
1. Our Services
RDC provides health and therapy services to clients of all ages, delivered in person or via telehealth.
Services may include:
• Assessment, training and therapeutic intervention
• Written and oral communications including phone calls, reports and program development — any task taking more than 10 minutes will be invoiced
• Attendance at team meetings and case conferences
• Development, assessment, trial and review of equipment, programs and plans
• Reports, forms or letters as requested
• Provider travel
2. Pricing
All prices are inclusive of GST where applicable and cover the full cost of providing the service. Additional expenses — such as materials or entry fees — remain the responsibility of the client or their representative. For NDIS clients, pricing is set in line with the current NDIS Pricing Arrangements and Price Limits and will be adjusted if the price guide changes.
3. Payments
Payment is sought after services have been delivered. How payment is made depends on your funding type:
Private Clients
RDC will invoice the client or their representative after each service. Payment is due by direct debit or
EFT within 7 days of the invoice date.
Medicare Clients
RDC will invoice the client or their representative after each service. Payment is due by direct debit or
EFT within 7 days. Where a valid Medicare referral has been provided to RDC, applicable rebates may
be claimed through Medicare. Please ensure your referral is current before your appointment.

The payment method depends on how your NDIS plan is managed:
• Self-Managed: RDC will invoice the client or their representative. Payment is due within 7 days.
• Plan-Managed: RDC will claim from the nominated Plan Manager. If the Plan Manager declines payment, the client or their representative is responsible for the outstanding amount.
• NDIA-Managed: RDC will claim directly from the NDIA following service delivery.
Note: RDC reserves the right to suspend or cancel services if there are insufficient funds to cover agreed services.
4. NDIS PACE Participants
If you are in the NDIS PACE system, you or your representative must call the NDIS on 1800 800 110 and endorse Red Dirt Consulting as a MyProvider before services commence. This is required at the start of each new plan period. NDIS Registration Number: 405 017 1880
5. Cancellation Policy
Please give as much notice as possible if you need to cancel. The following applies to all appointments:
• 48 hours or more notice: No cancellation fee applies.
• Less than 48 hours notice: The full session fee will be charged, payable at the next appointment.
• No-show / not at location: The full session fee including travel will be charged at 100% of the
scheduled rate.
Note: Where RDC cancels for operational reasons, the service will be rescheduled at no penalty. Where multiple cancellations or no-shows occur within 12 months, RDC will make contact to review whether current services remain the best fit.
6. Our Responsibilities
Red Dirt Consulting agrees to:
• Provide services that meet your needs at your preferred times, once agreed
• Communicate openly, honestly, and in a timely manner
• Treat you with courtesy and respect at all times
• Consult you on decisions about how services are delivered
• Review services at least annually with you or your representative
• Provide information about the complaints process and cancellation policy
• Listen to feedback and resolve problems promptly
• Give at least 24 hours notice (where possible) when rescheduling an appointment
• Protect your privacy and confidential information
• Deliver services in compliance with all relevant laws and the Australian Consumer Law
• Maintain accurate records and issue itemised invoices
7. Client Responsibilities
The client or their representative agrees to:
• Inform RDC how services should be delivered to meet their needs
• Treat all RDC staff with courtesy and respect
• Raise any concerns about services directly with RDC
• Give at least 48 hours notice when unable to attend a scheduled appointment
• Give at least 2 weeks notice when wishing to end the arrangement
• Notify RDC promptly of any change in circumstances affecting the delivery of services or available funding
8. Client Rights
RDC recognises and upholds the fundamental human rights of every client in accordance with the Australian Human Rights Commission Act 1986 (Cth) and related legislation. Every client has the right to:
• Be treated with dignity, respect, and equality
• Live free from abuse, neglect, exploitation, or discrimination
• Have their autonomy, informed choice, cultural safety, and privacy respected
• Raise concerns without fear of negative consequences to their services
• Have their voice heard in decisions affecting their care
• Have a support person or advocate present at any time
• Make a complaint at any time
9. Consent & Privacy
RDC collects, stores, and uses personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Only information relevant to the delivery of services will be collected or shared.
By engaging our services, the client or their representative provides consent for RDC to:
• Collect and securely store personal information relevant to service delivery
• Share relevant information with members of the client's care team where required
• Take photos and/or videos during appointments for purposes such as creating visual supports, reviewing sessions, tracking progress, and supporting funding applications — media will be securely destroyed once it has served its purpose
• Use AI-assisted voice-to-text and summarisation tools to generate progress notes
• Provide reports to the client's GP (Medicare clients), Support Coordinator or Plan Manager (NDIS clients), or other nominated professionals as applicable
• Deliver services via telehealth where applicable
All information is stored in a locked physical file and in encrypted cloud-based systems compliant with the Australian Privacy Principles. Information will not be shared without your agreement except where required by law.
10. Mandatory Reporting
RDC staff are mandated reporters. Where abuse, harm, or neglect of a child or vulnerable person is suspected or has occurred, RDC is legally required to report this under all relevant Commonwealth and State legislation. This obligation cannot be overridden by any instruction from a client, representative, or third party.
11. Changes
Any changes to the agreed services or their delivery must be agreed by both parties and documented in writing, signed, and dated before taking effect.
12. Ending the Arrangement
Either party may end the arrangement by providing a minimum of 2 weeks written notice. Where a serious breach occurs, the notice requirement is waived and the arrangement may be ended immediately. Where RDC initiates termination, we will take reasonable steps to support transition to alternative providers and ensure continuity of care.
Full documentation may not always be completed before the initial visit but must be signed prior to the second visit.
